How Our Microsoft Office 365 Migrations Work

In order to ensure your migration is handled correctly we have a structured process which starts with a Pre-Project Handover Meeting involving all the core contacts at your business regarding the project.

This meeting will give the appropriate contacts at your business an opportunity to have a full overview of the project and meet our experienced team who will be managing it.

This meeting is to help all parties involved, as well as to ensure that you fully understand the solution being sold to you, and the impact it will have on your business during and after the project.

Our aim is to ascertain your exact, unique requirements, and fully understand how your business operates and what you’re looking to achieve with your new solution. This will then allow us to best plan the project to minimise any downtime and work to your business needs.

Microsoft 365 Migration Project Management & Scope Creation

In addition to the highly qualified and experienced team working on the project, you will also be assigned a dedicated IT engineer and a project manager who will ensure the smooth running of the project and will liaise with you throughout it.

Our projects are fully documented and in accordance with the Agile Project Management and Prince II project fundamentals. All project plans are designed to best fit your requirements, minimise downtime and create a tailored customer experience.

Your assigned project manager will be required to ascertain the following information before we can connect into your system:

  • Downtime and priority of users for access to mailboxes
  • Email address formats
  • Email/Distribution groups required and group requirements
  • Shared mailbox requirements
  • User permissions and access
  • Room calendars
  • User and license requirements
  • Gather information and ownership of your DNS records
  • 3rd party email access requirements e.g. Photocopiers and Applications
  • Review current mailbox sizes and discuss mail history requirements, what we need to move onto the new system and discuss mailbox clean up before migration
  • Discuss email signatures

Once our engineers have this information, they will access your system remotely to check all Office and server versions and patch any required updates.

We will then commission the Office 365 portal, apply the correct licences, setup access and create the relevant users for admin access. Once live we will create all Groups and Rooms required with relevant permissions, as well as configure and setup email signature software with the correct requirements.

Upon completion, we will imitate the mail migration from the current system to the Office 365 portal. This can take up to a week depending on mail sizes and internet speeds. During this process the end users see no changes.

On Site Configuration & Setup

At this stage of the project we will move the DNS/email records to change the mail flow to Office 365. While we are conducting the migration, staff who require it will be provided with web access to emails.

As the configuration will cause temporary downtime, our engineers will perform the upgrade on machines in priority order. During this, an engineer will configure and setup mail profiles, which will then be tested. If required, mobile devices will also be configured. An engineer will spend time with your staff to demonstrate the basic differences in Outlook and answer any questions.

Any shared mailboxes or public folders will be migrated, followed by additional testing to ensure everything required has been migrated over correctly.

Once this has been confirmed, the old mail server from the setup will be correctly removed, decommissioning it out of the domain.

We will then configure a password sync so that all users and passwords match the local ones on the network.

An Office 365 backup will also be configured to ensure that all data has been migrated correctly.

All configuration and setup, including passwords, will be fully documented and stored in our secure service management system.

Once all of this has been completed, this will be then handed over to our service teams to go through the site configuration and information, so they have a full understanding of the system configuration.

With this information organised and stored in our system, whenever your team make support enquiries with us, we can resolve them as quickly as possible.
